Marketing & Production Coordinator
Reports to: Director of Marketing
Type: Full-Time, Exempt
Position Summary:
The Marketing & Production Coordinator plays a key support role in executing high-quality marketing initiatives for the Buffalo Niagara Partnership and the comms team for the NY SMART I-Corridor (Tech Hubs). This position is responsible for managing and producing content, supporting the creation and organization of marketing assets, and ensuring timely delivery of materials that elevate member engagement, event promotion, and brand consistency.
The ideal candidate is detail-oriented, highly organized, and possesses strong proofreading, content coordination, and light design/video editing skills. This is a collaborative role that interfaces with internal teams and external vendors to keep marketing projects on track and aligned with organizational priorities.
Core Responsibilities:
Content Development & Management
- Draft, proofread, and format email newsletters, blog posts, briefs, and promotional copy for events and initiatives.
- Maintain and update the marketing content calendar in coordination with the Marketing and Government Affairs.
- Collaborate with staff to gather information for content needs and assist in content planning.
Marketing Asset Production & Delivery
- Coordinate the organization, versioning, and timely delivery of marketing and event collateral.
- Serve as the liaison between internal stakeholders and external creative vendors (e.g., designers, printers, videographers).
- Support event promotion campaigns and analytics tracking by deploying digital assets across email, social, and web platforms.
- Help ensure all marketing materials align with brand guidelines and messaging tone.
Creative & Multimedia Support
- Support overflow graphic design needs using tools like Canva or Adobe Creative Suite (basic to intermediate skill level).
- Assist in basic video editing for events, testimonials, or promotional use (editing experience a plus but not required).
- Source or organize visual assets such as photos, logos, and graphics.
Project Coordination
- Track deadlines and project deliverables across multiple marketing initiatives.
- Maintain internal marketing project documentation, briefs, and timelines.
- Collaborate cross-functionally with the Events, Membership, Government Affairs, and Tech Hub teams to ensure message alignment.
Success Metrics (KPIs):
- Timely publication of newsletters (BNP + Tech Hubs)
- Adherence to content calendar timelines
- Event attendee engagement (e.g., opens, clicks, registrations)
- Accuracy and quality of marketing collateral
- Internal stakeholder satisfaction with marketing support
